Privacy & Data Security Policy

How CoreTEC safeguards telemetry, client assets, network access credentials, and communications.

Last Revised: October 20, 2026

At CoreTEC, we take the confidentiality of your commercial operations, proprietary software source code, network configurations, and hardware identifiers with paramount seriousness. This policy defines our protocols for gathering, storing, and securing information during consultation, provisioning, and ongoing maintenance.

1. Information We Collect

During normal service dispatch and procurement, we may collect:

  • Identity Data: Full name, organizational role, business email, and verified telephone numbers.
  • Hardware Identifiers: Server MAC addresses, motherboard serial numbers, hard drive hashes, and appliance firmware versions during bench diagnostic runs.
  • Network Telemetry: IP configurations, subnet allocations, and firewall rule configurations necessary to configure SD-WAN and LAN switches.
  • Transactional Data: Purchase orders, warranty certificates, service SLAs, and ticket resolution logs.

2. How Your Information Is Used

Your data is utilized strictly to provide reliable service execution:

Contract Execution

Managing ticket dispatches, verifying active warranty entitlements, and performing AMC preventive tune-ups.

Safety & Compliance

Ensuring electrical load calculations adhere to state engineering standards and regional fire safety rules.

3. Remote & Physical Infrastructure Access

When providing remote network troubleshooting or software database maintenance:

  • Temporary administrative credentials generated for our field personnel must be revoked by the client immediately after session completion.
  • Our engineers will never export, duplicate, or inspect client payload databases unless authorized via explicit, signed change-management consent.
  • Bench-repaired storage drives undergo certified data handling protocols preventing unauthorized data extraction.

4. Storage, Encryption & Retention

All portal communications, support ticket details, and contact requests submitted through CoreTEC web portals are transmitted using TLS 1.3 encryption. Internal databases utilize AES-256 encryption at rest. Service records are retained for the duration of the operational agreement and up to 7 years thereafter to comply with statutory audit guidelines.

5. Third-Party Disclosures

We do not monetize, rent, or sell client data. Third-party data exposure is limited exclusively to authorized original equipment manufacturers (OEMs)—such as server, switch, or UPS manufacturers—for the purpose of registering warranty terms or procuring replacement modules.

6. Inquiries & Compliance Officer
